Bellinghome School of Music private lessons policies:

Please read the following policy information carefully and sign below.


At Bellinghome School of Music, we implement several billing and communication procedures intended to provide our teachers with consistency and streamline administrative support for our students and families. In the aim of this goal, we require all scheduling adjustments to be managed exclusively through the My Music Staff (MMS) Student Portal and the front desk. 

This document only applies to students taking lessons on an every-other-week basis.

Billing Policy

As of February 1st, 2025*, all pre-existing students taking classes at an average of two a month and wishing to remain at this lesson frequency will be moved to an every-other-week lesson schedule, billed quarterly at a Variable Monthly Tuition Rate.

  • Students who wish to take classes every-other-week will be billed at the rate of a student’s assigned teacher’s rate, times the variable actual number of lessons falling in each month. How many lessons falling in each month will follow the every-other-week schedule as determined by each year’s calendar. 

    • Example: 

      • Tuesday, Week 1 Schedule - Every-Other-Week Lessons

      • Quarter 2, 2025 - April, May, June - 7 lessons

      • 30 minute lessons @ $40 per lesson

        • April - 3 lessons - April 1st, 15th, 29th = $40 x 3 = $120 for April

        • May - 2 lessons - May 13th, 27th = $40 x 2 = $80 for May

        • June - 2 lessons - June 10th, 24th = $40 x 2 = $80 for June

    • *Lessons falling on Winter Break Holidays will not be scheduled nor charged for.

    • *Lessons falling on Mid-Year Holidays require rescheduling via communication with the front desk (*Will not use up a make-up credit!)

  • Tuition is due on the 1st of each month.

    • Autopay is recommended for payment processing convenience.

      • Failed payments on autopay will automatically send warning notices before a late fee is assessed. 

    • Tuition payments made after the 8th of each month will incur a $15 late fee. 

    • Tuition payments remaining unpaid by the 15th of each month will result in student removal from the calendar. 

    • Autopay will be required after the 3rd late tuition payment.

  • Tuition Subscriptions must be cancelled with a 2+ week advance notice.

    • 2+ week’s advance notice of a tuition subscription cancellation is required as a courtesy to your assigned teacher in order to allow the front desk a reasonable chance to fill the assigned teacher’s booking calendar.

    • You will be responsible for paying for one additional lesson if you wait until the beginning of the month in question to give notice.

    • Bellinghome strongly recommends giving notice one month ahead of the planned departure so we may plan accordingly for that assigned teacher’s time slot.

    • Bellinghome appreciates everyone’s understanding and consideration in this manner as we work to support the musicians teaching independently with us!

Make-Up Credits Policy

  • A lesson cancellation made with at least 24 hours’ advance notice will earn a make-up credit.

    • A make-up credit expires 90 days from the cancellation date.

    • Make-up credits can only be used for make-up lessons.

    • Make-up credits cannot be applied to invoices. 

    • Discounted invoices will not be provided unless a teacher is absent & no substitute is available.

  • Students may receive up to: 

    • 3 make-up credits per quarter

    • 12 make-up credits per year

  • Quarterly periods are defined as: 

    • January 1st - March 31st

    • April 1st - June 30th

    • July 1st - September 30th

    • October 1st - December 31st

Lesson Cancellation & Rescheduling Policy

  • All lesson cancellations and rescheduling must be arranged through the MMS Student Portal, or the front desk via phone or email.

    • The MMS Portal allows students to cancel lessons and register for make-up slots with at least 24 hours’ advance notice. 

    • Notifications are automatically sent to the desk and teacher upon scheduling changes made within the MMS Portal.

    • Teachers will be open to communication about scheduling conflicts or other concerns, but teachers will not manage the Bellinghome lesson calendar directly.

Office Closure Policy

  • Bellinghome is formally closed on the following Holidays:

    • January 1st, 2025 - New Year’s Day*

      • *Desk Closed. Normally scheduled lessons & make-ups allowed.

    • February 17th, 2025 - President’s Day

    • May 26th, 2025 - Memorial Day

    • June 19th, 2025 - Juneteenth

    • July 4th, 2025 - Independence Day

    • September 1st, 2025 - Labor Day

    • November 27th, 2025 - Thanksgiving

    • December 20th, 2025 - January 2nd, 2026 - Winter Break

  • By default, lessons that would land on Mid-Year Holidays will automatically be rescheduled with the front desk. (*Will not affect your make-up credit limits!)

    •  Winter Break Holidays will be dependent on your lesson’s weekday and the year we’re in.

    • Lessons are allowed on Holidays if prior arrangements are made with the front desk between both the student and their assigned teacher. 

    • Changes to this default rescheduling will require contacting the front desk.

Teacher Cancellations Policy

  • If a lesson is canceled by the teacher, and no suitable substitute teacher is available, a monetary credit equal to the cost of one lesson will be applied to the next invoice.

Short-Notice Cancellations Policy

  • No-shows / lessons missed without prior notification will not be eligible for make-up credits.

  • Lessons canceled with fewer than 24 hours’ advance notice will not be eligible for make-up credits.

    • Exceptions to this rule can be discussed with the front desk to determine whether or not a make-up can be issued in times of explicit emergency circumstance as warranted by urgent medical necessity or personal health and safety protection as caused by severely inclement weather conditions or catastrophic events.
